THE ORGANIZATION

In Puerto Rico, we are focused on improving reading proficiency for students in the early grades and revitalizing the island by making strategic investments in arts, culture, and education. Our work in Washington, D.C. centers on strengthening effective family engagement in schools and school systems across the country through trainings, fellowships, and school-based partnerships.   

THE ROLE 

The Executive Assistant of our Washington, DC office serves as the right hand to the Executive Director (ED) and provides comprehensive support to ensure seamless execution of her professional priorities. You will use your administrative and professional skills as a nuanced critical thinker, problem solver, exceptional communicator, and efficient project manager to ensure high-quality support of the ED’s time, visibility, team management, and external relations priorities. As a representative of the ED and an ambassador of the organization’s mission and values, you will work closely with other internal stakeholders, including the senior leadership team and talent leads to ensure staff culture is strong. You will also support the ED’s external profile through preparation of high-quality correspondence, advance meeting prep, and meeting coordination, and follow up coordination with external partners.   

 This role could be right for you if you have demonstrated and consistent experience in these seven areas. 

Scheduling + Logistics    You have experience managing the calendar of an executive or team and scheduling internal and external meetings | You are a Microsoft Office guru, familiar with MS Suite and can use Outlook calendar to make appointments for contacts across multiple time zones | You have experience coordinating local and national travel arrangements and being available for logistics support during business trips an executive | You have been responsible for processing expense reports for reimbursable expenses | You have ensured that those you support administratively are prepared for all meetings in advance. 

  Communications + Correspondence    You have exceptional verbal and written communication skills | You understand how to write for business and represent yourself and those you support administratively in a courteous and professional manner | You have created or edited PowerPoint presentations and/or edited talking points for meetings, speeches, or other engagements.  

   Meeting Management    You’ve organized logistics for large and small staff meetings, including scheduling conference rooms, room set up, materials printing, and supporting all logistical aspects of attendee experience | You’ve created agendas on behalf of an executive | You’re adept at notetaking and preparing and disseminating organized notes after meetings.

 THE QUALIFICATIONS 

  • 2-3 years of relevant professional experience. 
  • Experience supporting a high-level executive. 
  • Excellent written and oral communication skills.  
  • Exceptional attention to detail and organizational skills. 
  • Strong command of Microsoft Office suite. Experience with Salesforce a plus.  
  • Routinely displays confidence, humility, and grace under pressure.  

 THE LOGISTICS 

Start date    July 2023 

  Location    This position is based out of our Washington, DC office in Dupont Circle. Flamboyan has a hybrid work schedule which is 4-days in the office and 1-day remote each week along with 1 fully remote week quarterly. Our in-person workplace design is based on our belief that being physically present with colleagues internally and partners externally is essential to building relationships and optimizes our ability to achieve our individual and collective goals | Occasional local and national travel may be necessary | All staff must be fully vaccinated and boosted as a condition of employment unless given an approved exemption by Flamboyan for a medical or religious reason. 

  Compensation    At Flamboyan, our starting salaries are grounded in four beliefs: that we are competitive, we maintain internal equity across roles, there’s room to grow, and salaries are aligned with the market. We avoid negotiating starting salary to create equity across our team. We construct our salaries in such a way that staff can increase their pay as they grow within their level.  

 The starting salary for the Executive Assistant is $57,460.
