Position Summary:  This position is responsible for executing all components of foundation grants and scholarships, including structure of grants, regulatory compliance, and education of grants information to CCF staff and external parties. Responsibilities also include fund and nonprofit management to support external and internal customer questions. Supports discretionary grantmaking administration and monitoring. This is an early to mid-career position.

 

Major Responsibilities: 

Grants Management:  

  • Donor-initiated Grants: Responsible for the approval/decline of donor-initiated grants and disbursements. Assesses a grant’s compliance with federal law by educating fund contacts/donors on potential updates or delays to their grants, as appropriate.
  • Discretionary Grants: Approves grants from permanent restrictive funds and staff matching grants program. Reviews applications and participates in site visits for special initiatives/projects. Records and monitors grants through their life cycle by facilitating reporting and subsequent payments.
  • Scholarships: Manages assigned portfolio of scholarship funds and for each scholarship, works with fund contacts to determine appropriate scholarship structure, committee makeup, and overall adherence to federal regulations.

Customer Relations: Serves as key contact for several external constituents, including fund contacts (donors, financial advisors, etc.), committee advised scholarship contacts, and grant seekers (nonprofits, teachers, artists, etc.).

  • For donor and fiscal sponsorship fund contacts, serves as a primary contact for information regarding fund operations, foundation polices, opening a new fund, and philanthropic research. Coordinates with Donor Relations and Operations staff to provide a high level of service to fund contacts, build relationships, and grant opportunities.
  • For scholarship funds, serves as primary relationship manager for fund contacts, committee members, scholars, and institutions. Manages portfolios and approves scholarship structure from committee composition to application and selection process.
  • For grant seekers, serves as primary contact for CCF’s grant opportunities, answering questions about grantmaking priorities, policies, and practices. Supports nonprofits during their grant lifecycle with questions on grant adjustments, subsequent payments, reporting, etc.

Grants Processes, Policies and Procedures:  Stays current with IRS restrictions to ensure adherence to policies and procedures related to grants and fund management. Analyzes data/common issues to identify opportunities to enhance services and tools offered to donor.

Reporting: Assists with grants-related reporting as necessary. Reviews and analyzes requests to determine best representation of information as it relates to need.

Staff Training: Assists with training for new and current staff on CCF funds and grantmaking. Serves as training expert on grants database and website use to all CCF staff.

Departmental Coordination: Serves as a liaison between all departments to ensure timely and accurate grants management and service. Regularly meets with Programs staff and departments to discuss issues and facilitate improvements to the grantmaking process and scholarships.

 

Qualifications:

  • Experience: This is an early to mid-career position. Related experience required in grants management or accounting preferred. Knowledge of donor advised or committee scholarship grantmaking will be beneficial.
  • Education: College degree preferred.
  • Communication Skills: Strong interpersonal, written, and verbal communication skills. Superior customer service skills to external and internal constituents. Excellent listening skills, follow through and problem-solving abilities.
  • Technology Skills: Internet competency and strong computer proficiency, including mastery of the Microsoft Office software suite and a familiarity with database software, is required. Knowledge of Raiser’s Edge, Financial Edge and grantmaking software preferred.
  • Project Management Skills: Excellent organizational skills and attention to detail. Ability to prioritize work effectively and adjust to multiple demands within set deadlines.
  • Team Work & General Skills: Ability to work well independently and as team member. Ability to take initiative, and follow tasks through to completion.

 

Working Conditions: 

  • Requires the ability to sit and work at a desk for several hours at a time.
  • Requires the ability to travel and attend meetings, presentations and events outside the office, which may require occasional use of a motor vehicle for transportation to other locations.
  • Work may require occasional weekends and/or extended work day.
  • Punctuality and satisfactory attendance are essential functions of the job.
